Aggregate Information – General information that does not personally identify you, such as browsing behavior, site visits, and traffic patterns. How We Collect and Use Information We do not collect PII unless you voluntarily provide it to us. However, you may be required to provide certain PII when using specific Services, such as: Registering for an account Signing up for services Submitting forms or payments Contacting us via email We use your PII to provide and enhance the Site and Services, personalize user experiences, analyze usage trends, and improve our offerings. Your information may also be used for customer support, troubleshooting, and compliance with legal obligations. Information We Collect From Presentation Audiences Most people meet PresEngage® as an audience member rather than as a customer: someone is giving a talk, and you join it to ask questions. The sections that follow describe what happens to your information in that situation. They apply whether you joined from a link, a QR code, an event code, or a panel inside the meeting platform the presenter is using. When you join a presentation, we collect: The details you provide. The registration screen asks for your name and email address so the AI Co-Presenter can answer you and the presenter can follow up. Your questions and the answers you receive. Every question you ask and every answer sent back to you is recorded and kept with that presentation. Technical and visit data. Your IP address, your browser’s user-agent string, the approximate location we can derive from that IP address, and which link or code you used to reach the session. Some presenters additionally enable an optional text-message add-on for in-person rooms. If you took part that way, the phone number you texted from is what identifies you in place of a name and email address, and we collect the messages you exchanged. See “Messaging Opt-In Data (SMS and WhatsApp)” below for how that number may and may not be used. If you join over WhatsApp. When you message a presentation on WhatsApp, we receive your WhatsApp phone number and the messages you send, and we keep them with that presentation’s Q&A alongside our replies — the same as for a text message. We also record that you arrived over WhatsApp rather than by text. WhatsApp also passes us the display name set on your WhatsApp profile, and we store it with that presentation’s Q&A so the presenter can see who asked. We never receive your WhatsApp contacts, your profile photo, or any of your other WhatsApp conversations. When you reach a presentation by text message or WhatsApp, we also look your number up in the public caller-ID (CNAM) directory, which returns the name and mobile carrier listed against it, and we store both alongside the number. That lookup happens the first time we see a number, and the result is reused afterwards. It is a separate thing from the display name a WhatsApp profile carries, and it applies to text-message joiners too. Our public demo presentation also offers an anonymous Guest option. Joining as a Guest creates no registration record at all: we do not ask for, and do not store, your name, email address, or phone number. How Audience Information Is Used Audience information is used for three purposes, and no others: Running the live Q&A. Your questions are answered during the session by that presentation’s AI Co-Presenter, which draws its answers from the content the presenter uploaded. Letting the presenter follow up. The presenter who ran the session can contact you afterwards about that session. Our own emails — only if you opt in. The registration screen carries an opt-in checkbox that is not ticked for you. If, and only if, you tick it, PresEngage sends you its own recap and presentation-tips emails. Leaving it untouched changes nothing about the Q&A. This is the same commitment shown on the registration screen before you enter anything: We use your details to run your Q&A with this presentation's AI Co-Presenter and so the presenter can follow up about this session. PresEngage only sends you its own emails if you opt in above. If anything in this Policy appears to conflict with that statement, the statement governs. Who Controls Audience Information Two different roles apply to audience information, and which one is in play decides who answers to you for it. The presenter is the controller of their session. The presenter decides to run the presentation, decides what the registration screen asks for, and decides what to do with the questions afterwards — their follow-up, their analytics, their CRM. For everything in that list, PresEngage acts as their processor and handles the information on their instructions. Under US state privacy laws we are their service provider; under the GDPR, their processor. PresEngage is the controller of two narrow things. The recap and tips emails you can opt into are ours, sent for our own purposes, and we answer for them directly. So is the aggregate product analytics we use to measure and improve the platform. If you want your information corrected or removed from a particular presenter’s records, asking that presenter is usually fastest, because it is their decision to make. You can also write to us at privacypolicy@presengage.com and we will act on the request or pass it to the presenter. Sharing With Presenters and Their Tools The questions you ask and the registration details you gave are visible to the presenter who ran the session. That is what the product is for: the presenter sees what the room asked. Presenters can also export that information out of PresEngage — for example through Zapier, or into their own CRM. Once information leaves PresEngage on a presenter’s instruction, what happens to it is governed by that presenter’s own privacy practices, not by this Policy. If you need to know where your details went after a talk, ask the presenter. We also rely on a small number of service providers to run the platform. They act on our instructions, for these purposes only: Cloudflare — hosting, storage, and email delivery. Twilio — text-message and WhatsApp message delivery. Meta Platforms, Inc. — carriage of WhatsApp messages. Where you contact a presentation over WhatsApp, your message travels over Meta’s network and your use of WhatsApp is governed by WhatsApp’s own terms and privacy policy in addition to ours. Microsoft (Clarity) — product analytics and session replay on our website and the presenter application. It does not run on the audience Q&A experience. Stripe — payments for presenter accounts. We do not sell audience information, and we do not give it to advertising networks. One qualification belongs beside that statement. Google Analytics, which we use for product analytics on the audience Q&A, has Google’s advertising-audience feature enabled on our account, so an audience visit may be counted towards a Google remarketing audience. It carries no name, email address, phone number, or question content, and it is the only route by which anything from a presentation audience reaches an advertising platform. See “Advertising and Remarketing” below. Where Information Is Stored Audience information is stored in Cloudflare D1, our database, and Cloudflare R2, our file storage. Both run on Cloudflare’s global network. Because that network spans many countries, your information may be stored or processed outside the country you live in, including in the United States. By joining a presentation you understand that this is where the service runs. How Long We Keep It Retention of audience-member information. If you share your contact information through a presenter’s presentation, we retain it for as long as the presentation remains active on our platform, so the presenter’s content and your Q&A history remain available to you. If the presenter deletes the presentation (or their account), we retain your contact information only long enough to complete any communications you consented to receive — no more than 21 days after your consent — and then remove it. We retain unsubscribe and suppression records indefinitely so that we never contact you again after you opt out, as required by law. Your questions and conversation history for a presentation are deleted when that presentation is deleted. You may request deletion of your information at any time regardless of these timelines by using the unsubscribe link in any email or contacting us. What we do have is deletion on request, and we act on it. Write to privacypolicy@presengage.com from the email address you used to join — or naming the phone number, if you joined by text — and tell us which presentation you attended if you remember it. We will delete your information. Two things survive a deletion request, both so that deleting them cannot be used against you: a minimal record that the request was made, and any unsubscribe you have asked for. Erasing an unsubscribe would simply let the same emails start again. Your Choices Stopping our emails. Every email PresEngage sends to an audience member carries a one-click unsubscribe link of the form https://api.presengage.com/platform/email/unsubscribe?token=…. One link, no login, no account, no form to fill in, and it takes effect immediately. Opening that link shows you a confirmation page rather than unsubscribing you on the spot. That is deliberate: mail clients and security scanners fetch links in the background, and we will not let a background fetch unsubscribe you without your knowledge. Confirming on that page — or pressing the unsubscribe button your mail client offers, which we support as a one-click action under RFC 8058 — does two things at once. It suppresses all future PresEngage audience email to that address, and it revokes the consent record behind it. Doing it more than once is harmless; the result is the same. If a link ever fails you, email hello@presengage.com and we will suppress the address by hand. Unsubscribing from our emails does not stop the presenter contacting you about their session. That is their communication, sent under their own privacy practices; ask the presenter to stop, or use the unsubscribe mechanism in their message. Stopping SMS and WhatsApp messages. Reply STOP to any message from the Q&A service, on SMS or WhatsApp. The full terms are in the Messaging Terms (SMS and WhatsApp) section of our Terms of Use. Access, correction, and deletion. Write to privacypolicy@presengage.com to ask what we hold about you, to correct it, or to have it deleted. Tell us enough to find you — the email address or phone number you joined with, and the presentation if you know it. Where the information belongs to a presenter’s session, we will act on their instruction or route your request to them, and we will tell you which happened. Attribution and Local Storage When you experience PresEngage at someone’s talk, we store a short-lived reference in your own browser naming the presentation where you encountered us. It is set by this site, for this site, and it expires after 7 days. It does one thing: if you later start a PresEngage account, it lets us recognize that you first met the product at a talk rather than through an advertisement. It is not a cross-site advertising identifier, it is not shared with advertising networks, and it holds no answer, question, or contact detail. Clearing your browser’s site data removes it. Session Replay Analytics We use Microsoft Clarity, a session-replay and heatmap service, to understand how people use our website and how presenters use the PresEngage application — where they click, where they scroll, and where they get stuck — so we can fix what is confusing rather than guess at it. Where it runs matters. Clarity runs on this website and inside the presenter application at presengage.com/app, including its sign-in and sign-up pages. It does not run on the audience Q&A experience at ask.presengage.com or in the panels inside Meet, Teams, or Zoom. Joining someone’s presentation as an audience member is never session-recorded by us. What it can see is limited. Anything typed into a form is masked before it leaves the browser. In the presenter application we go further: recordings are captured under Clarity’s strictest masking mode, and the surfaces that show audience questions and contact details, API keys, profile information, or payment details are additionally excluded in our code — the recording receives placeholders, not the content. A signed-in presenter’s session is associated with an internal account identifier, never a name or email address. Microsoft processes this data on our behalf under the Microsoft Privacy Statement. Clarity sets analytics cookies, described in the Cookies section below. If you prefer not to be included, most content-blocking browser extensions block Clarity (domain clarity.ms), or write to privacypolicy@presengage.com and we will help. Cookies We use cookies to store certain user preferences and improve your experience. These include session cookies, and third-party analytics cookies set by Microsoft Clarity (cookie names beginning with _cl) that distinguish repeat visits for the session-replay analytics described above. You may disable cookies in your browser settings, though some features of the Site may not function properly as a result. Our website and the presenter application also carry advertising tags from Meta, Google Ads, and LinkedIn. We run these through Cloudflare Zaraz, which handles them on our side rather than in your browser, so they set no advertising cookies of their own on this site. What they do is contact those companies’ domains — and Google Analytics, because our account has Google’s advertising-audience feature enabled, also contacts Google’s advertising domain. Those companies may set or read cookies of their own when that happens, under their own policies, not ours. Of these, only the Google Analytics one runs on the audience Q&A experience. All of it is described under “Advertising and Remarketing” below, along with how to stop it. Advertising and Remarketing We advertise PresEngage on third-party platforms — today Meta (Facebook and Instagram), Google Ads, and LinkedIn. Our website and the presenter application load advertising tags from those platforms. Those tags set the cookies described above and receive your IP address, the pages you viewed, and an identifier held in a cookie, which lets those platforms show PresEngage advertising to people who have visited our website or used the presenter application, and to people they judge to be similar. Presentation audiences are excluded from our advertising, with one exception. If you joined someone’s talk, no Meta, Google Ads or LinkedIn advertising tag runs on the audience Q&A experience at ask.presengage.com or in the panels inside Meet, Teams, or Zoom, and we never upload audience contact details to an advertising platform. The exception is Google Analytics, which we use for product analytics across all our services including the audience Q&A: that account has Google’s advertising-audience feature enabled, so a visit there may be counted towards a Google remarketing audience. It carries no name, email address, phone number, or question content. We do not share the questions you asked, a presenter’s materials, or the substance of any conversation with any advertising platform. How to stop it. Use the “Do Not Sell or Share My Personal Information” link in the footer of this site. We also honour the Global Privacy Control signal: if your browser or an extension sends one, we do not load the Meta, Google Ads, or LinkedIn tags at all. You can additionally use your advertising settings on each platform, or your browser’s or device’s tracking controls. None of this affects your ability to take part in a presentation’s Q&A. Under some US state privacy laws, using advertising identifiers this way counts as “sharing” personal information for cross-context behavioural advertising. The opt-out above stops the Meta, Google Ads, and LinkedIn tags. It does not reach the Google Analytics advertising-audience sync described above: to stop that one, use your Google advertising settings or your browser’s or device’s tracking controls. Release of Information We do not sell, trade, or rent your PII. However, we may share information with trusted partners and service providers to deliver our Services. Any third-party use of your information is governed by their respective privacy policies. We may also disclose your information when required by law enforcement or judicial authorities. Updating and Correcting Information You may update or correct your PII at any time by accessing your account settings or contacting us at privacypolicy@presengage.com. If you request deletion of your data, we will comply where possible, but some information may be retained for compliance and record-keeping purposes. Security of Your PII We implement security measures to protect your PII from unauthorized access, alteration, disclosure, or destruction. While we strive to protect your data, no online transmission is 100% secure, and users acknowledge inherent risks in internet-based interactions. Messaging Opt-In Data (SMS and WhatsApp) All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties, excluding aggregators and providers of the Text Message services. A phone number collected so that an audience member can ask questions by text is used solely to deliver Q&A responses for that presentation and the presenter’s messages about it. PresEngage never uses an audience member’s phone number for its own marketing, and never sells, rents, or trades it. The opt-in you gave is to one presentation’s Q&A, and it does not travel to any other. WhatsApp. Where a presentation offers WhatsApp, opting in works the same way: you start the conversation by scanning the presenter’s code or messaging our number, and you may stop it at any time by replying STOP. WhatsApp messages are delivered over the internet by Meta rather than by your mobile carrier, so carrier message and data rates do not apply, though your normal data charges may. Your WhatsApp number is used for the same purposes as a phone number given over SMS, is never used for PresEngage’s own marketing, and is not sold or rented. Minors You must be at least 18 years old to use our Site. If you are between 13 and 17 years old, you may use the Site only with parental or legal guardian consent. We do not knowingly collect information from minors. Changes to This Policy Each version of this Policy is named by the date it was published, shown at the top of this page as Version 2026-08-23.1. When we change the Policy in a way that matters, we publish a new version under a new date; the version shown here is always the one currently in effect. The version is not only a label. When you consent to receive PresEngage’s own emails, we record the version of this Policy that was in effect at that moment alongside your consent, so it is always possible to say which text you agreed to rather than which text happens to be current.
